Privacy policy
What we collect on prozence.com and in the online services used by the Prozence WordPress plugin, why we collect it and how you can exercise your rights.

Who we are
Prozon Kurumsal Teknoloji Çözümleri A.Ş. ("Prozon", "we") operates prozence.com and the services described below. Address: Artan Plaza, Bağlarbaşı Mah., Feyzullah Cad. No: 140 Kat: 5, 34844 Maltepe / İstanbul, Türkiye. Contact: info@prozence.com.
Under the Turkish Personal Data Protection Law No. 6698 ("KVKK") and, where it applies, the EU General Data Protection Regulation ("GDPR"), we are the data controller for the website and for licence and account data, and a data processor for the content our customers send to the Prozence AI service.
What this policy covers
- the prozence.com website;
- the Prozence AI service, used by the free Prozence WordPress plugin only when a site administrator turns it on;
- licence checks and Pro updates for Prozence Pro.
The Prozence plugin runs on the customer's own WordPress site. Data stored there (employees, business cards, customers) is controlled by that company, not by Prozon. Each company is responsible for informing its own employees and contacts; the plugin includes tools for this (versioned privacy notices, consent records and a data subject request form).
The website
- No analytics or advertising cookies. prozence.com does not use analytics, advertising or social media tracking, and loads no scripts or fonts from other sites.
- Language choice. If you pick a language, your browser stores that choice locally (
pzs_dil). It is not sent to us. - Server logs. Our hosting provider, Kinsta, records technical data such as IP address, browser type, requested page and time to deliver the site and protect it from abuse. Logs are kept for a limited period set by the provider.
- E-mail. If you write to us, we use your name, address and message to reply and, if you become a customer, to set up your account.
Prozence AI service
The free Prozence plugin can read business cards and complete company details with AI. A site can use its own Anthropic API key, in which case its data goes straight to Anthropic and does not pass through Prozon. Sites without their own key can use the Prozence AI service:
- When it is used: only after a site administrator turns it on in the plugin and confirms the data transfer, and only while the site has no Anthropic API key of its own.
- Registration: the site's address and plugin version. To confirm the request really comes from that site, our server briefly reads a one-time code from the site's REST API.
- Each card read: the business card photo, QR code text or e-mail signature text the employee submits.
- Each company enrichment: company name, e-mail domain, known website and address, and public text read from the company's own website.
- Processing: we forward this content to Anthropic, PBC (United States) to extract the details and return the result to the site. We do not store or log the content (photos or text). Per site we keep the domain, a hash of the access token, registration and expiry dates, usage counts, last use time and plugin version.
- Anthropic processes the content under its commercial terms and privacy policy: anthropic.com/legal/commercial-terms, anthropic.com/legal/privacy.
- Roles: for business card and company data the customer company is the data controller; Prozon acts as its data processor and Anthropic as a sub-processor.
- Transfer abroad: because Anthropic is in the United States, using the service transfers this content abroad. The transfer takes place under Article 9 of KVKK and, where the GDPR applies, Chapter V of the GDPR, with the appropriate safeguards those laws require.
- Retention: usage records are kept while the site is registered and for 12 months after its free allowance ends, then deleted.
Licence checks and Pro updates
Sites running Prozence Pro send us once a day the licence key, the site domain, the number of active employee cards and the plugin version. When checking for updates they also send the installed Pro version. We use this to validate the licence, bill by active card count and offer updates. Update packages are downloaded through signed links that expire after one hour.
We keep licence records for the duration of the licence and afterwards for as long as commercial and tax law requires.
Who receives data
- Kinsta (website hosting);
- Anthropic, PBC (AI processing, only for the Prozence AI service);
- public authorities, when the law requires it.
We do not sell personal data or use it for advertising.
Your rights
Under Article 11 of KVKK and, where applicable, the GDPR, you may ask us whether we process your personal data and request information about it; learn the purpose and whether it is used for that purpose; know who it is shared with in Türkiye or abroad; have it corrected if it is incomplete or wrong; have it deleted or destroyed; have third parties notified of these changes; object to a result against you that arises solely from automated analysis; and claim compensation for damage caused by unlawful processing. Under the GDPR you may also ask for restriction and portability.
Write to info@prozence.com or by post to the address above. We reply within 30 days, free of charge. If your request concerns data that a Prozence customer controls (for example your contact details in a company's customer directory), please contact that company; we will help it answer. You may also complain to the Turkish Personal Data Protection Authority (KVKK) or to your local supervisory authority.
KVKK privacy notice
This section is our notice under Article 10 of KVKK.
- Data controller: Prozon Kurumsal Teknoloji Çözümleri A.Ş., address above.
- Purposes: running and protecting the website; answering messages; providing the Prozence AI service on behalf of customers; validating licences, billing and delivering updates; meeting legal obligations.
- Legal grounds (KVKK Art. 5/2): performance of a contract (c); compliance with a legal obligation (ç); our legitimate interests in operating and securing our services, provided they do not override your rights (f).
- Method of collection: electronically, through the website, e-mail, the Prozence plugin's calls to our services and our hosting provider's server logs.
- Recipients and transfers abroad: as listed under "Who receives data" and "Prozence AI service".
- Your rights: as listed under "Your rights" (KVKK Art. 11).
Changes
We update this policy when our services change and show the date at the top of the page.
