One employee record
instead of five separate tools.
In most companies business cards live in one app, signatures in another tool, announcements in email, and leave and attendance in yet another system. Each keeps its own employee list; when someone leaves, five accounts need closing. Prozence brings them together in one record.
Eight things that make
Prozence different.
-
One record, the same everywhere
An employee's title, phone and manager come from the Google or Microsoft directory. Business card, email signature, wallet pass, org chart and directory update at the same time.
- Card, signature and wallet ready on day one
- No emails asking someone to update a title
- One step when someone leaves
-
You choose where the data lives
Prozence can be installed on your own server as a WordPress plugin or used in the cloud. Product and price are the same either way, and you can move from one to the other later.
- On your own server, the database is yours
- You decide which outside services to connect
- In the cloud, updates and backups are on us
-
Even leavers leave value behind
Hundreds of printed business cards handed out over the years reach the person now covering the role, not the leaver's phone. Customer cards stay with the company.
- Printed QR opens the successor's card
- Wallet pass expires
- Equipment return list and customer handover
-
Built for Türkiye, ready for more
Work that needs add-ons, middleware or consultants in foreign products comes ready in Prozence: local privacy law, attendance, payslips and e-invoices.
- KVKK and GDPR: versioned notices, proof of consent, request form, processing record
- Attendance, timesheets, payslip delivery, e-invoice expenses
- Enrichment with technology park, R&D centre and stock exchange data
-
Your sales team's memory
Business cards live in the company's duplicate-free catalogue, not in an employee's pocket. You see who on the team knows a customer, whose title changed and who nobody has spoken to in a while.
- AI reading of cards, badges and signatures
- Job and company change suggestions
- Direct transfer to 7 CRMs
-
AI assists, you decide
AI reads, summarises and suggests; it never changes records on its own. Generated content is labelled, and it does not look for sensitive personal information.
- Suggestions apply only when approved
- Profile photos are processed in the browser, not on the server
- Wiki answers show their sources
-
Your brand comes first
Every surface your customers see carries your name, logo and colours. Prozence appears only as a small link at the bottom, which you can switch off.
- Branded cards, signatures, wallet passes and emails
- The app icon is your company's icon
- Business cards on your own domain
-
An app employees open every day
Intranets often go unopened. In Prozence, everyday things such as attendance, leave, the cafeteria menu and shuttle times are in one place, so the app gets opened and announcements get read.
- Scan card, Clock in and Request leave shortcuts on the phone
- A personal Today screen
- Phone notifications and a weekly summary
With separate tools
and with Prozence.
The same job, done two different ways.
| Topic | With separate tools | With Prozence |
|---|---|---|
| Employee list | Kept separately in every tool | One record, synced with the directory |
| Job title change | Updated separately on card, signature and intranet | Changed once, updated everywhere |
| Someone leaves | Five accounts to close; printed cards still reach the old number | One step; the QR code points to the successor |
| Business cards collected | Stay on the employee's phone | In the company's duplicate-free catalogue |
| Privacy records | Separate notices and exports in every tool | One notice, one proof of consent, one request form |
| Emergencies | Phone trees and chat groups | "I'm safe" check-in and a live board |
| Billing | Five contracts, five separate user counts | One price, active employees only |
| Where data lives | Wherever the vendor chooses | Your own server or the Prozence cloud |
Which tools
does it replace?
None of these need a separate subscription.
- Digital business card app
- Email signature management
- Business card scanner
- Intranet and announcements
- Wiki and knowledge base
- Employee survey and pulse
- Meeting room booking
- Visitor management
- Requests and helpdesk
- Parcel and mailroom log
- Asset and equipment tracking
- Time and attendance
- Leave management
- Expenses and advances
- Payslip delivery
- Emergency check-in
Payroll calculation, accounting and in-depth HR processes are not Prozence's job; it works alongside those systems through its API and webhooks.
Good to know
before you decide.
A few things we'd like you to know before you choose.
- Outlook signatures: Microsoft offers no interface for writing a signature into an employee's Outlook. In Microsoft 365 the signature is added by an Exchange server rule, or employees copy it in one click.
- Mobile apps: Today the app is added to the phone's home screen. The iOS and Android apps are in testing.
- CRM connectors: Connectors other than HubSpot are verified together with you on your live account during setup.
- Admin language: The employee app is available in 9 languages; the WordPress admin screens are in Turkish for now.
